Our Process

We are not a contract agency that supplies contractors for you to hire, train or manage. We are a team of documentation experts who develop technical documentation and training materials on an outsourcing basis. Bay State Documentation uses the time tested 4D methodology to provide a structured and rigorous approach for documentation development.

Process Highlights

To make the process easy and predictable, here are some practices we follow for each engagement:




We assume the responsibility of the project to allow you to focus on your core business.   Each project is owned by a local Project Manager who becomes your primary contact.



For every project, we hold periodic face-to-face meetings. This becomes a forum for project status and review of interim deliverables. These meetings remove any surprises and allow for constant calibration throughout the project.


You don’t have to worry about hiring, firing, training, headcount, overhead, office space, hardware or software tools etc.
All our Writers are technology & domain trained to make it easy on your SMEs.



All of our Writers are our employees - the knowledge they acquire is available for future projects. Unlike hiring contractors, there is no burden of constant hiring and training.

Phases of the 4D Process

Discovery




Analyze your audience. This include an analysis of what Users need to get the job done, what is relevant content and what content would create unnecessary clutter and make documentation more difficult.


Understand the purpose of the document and explore the business and competitive issues for your business


Develop a preliminary project plan, outline and design and estimate the resources required.

If we are working on a project basis, this may be done at the time of a proposal submission.

Design

Secure access to your product
A template
A detailed outline
A comprehensive project plan and
A sample

By the end of this phase, the content, writing style, and schedule has been firmed up.

Development

Chunks of content is developed, edited and reviewed at regular intervals.
These review sessions also form the basis for monitoring the progress of the project and any recalibrations required.

Deliver


The final document is assembled, edited and delivered to you in final form.


After your internal review, we conduct an on-site review to capture all comments and edits.
This is followed by the production of delivery of the final product.
